Business Office Specialist
Reports To: Business Manager
Starting Pay: $23.00/hour
Schedule: 8 hours/day, 230 days/year
Benefits: Public School Employee, 10 PTO days, paid holidays, insurance, and/or cash-in-lieu option
Position Summary
The Business Office Specialist plays a vital role in supporting the fiscal, administrative, and compliance operations of Rudyard Area Schools. This position ensures accurate financial processes, compliance with state and federal reporting requirements, and efficient business office operations while maintaining a professional and respectful work environment.
Essential Duties and Responsibilities
Financial & Business Services
Assist the Business Manager by reviewing, verifying, and checking fiscal processes to ensure fiscally appropriate allocations.
Complete monthly credit card reconciliations and accounts payable processing.
Assist with preparation of budget amendments, financial projections, and audit documentation.
Process and maintain accurate records for purchase orders, invoices, receipts, and vendor payments.
Monitor compliance with grant spending (state, federal, and categorical funds) and assist with reporting requirements.
Maintain records and reports for state aid and federal program reimbursements.
Prepare and deliver timely financial and administrative reports to the Board of Education.
Maintain organized filing systems and business office records in accordance with retention requirements.
Pupil Accounting & State/Federal Reporting
Serve as the district’s Pupil Accounting contact in collaboration with the Business Manager.
Collect, verify, and submit all required Count Day documentation in accordance with Michigan Pupil Accounting Manual (MPAM) guidelines.
Ensure compliance with attendance, enrollment, residency, and membership requirements for all students.
Work with building secretaries to ensure student data accuracy in the district’s Student Information System (SIS).
Submit required state and federal pupil accounting reports (e.g., MSDS submissions).
Assist with audits and reviews conducted by the Intermediate School District (ISD) or the Michigan Department of Education (MDE).
Human Resources & Compliance
Support onboarding of new employees, including required paperwork, key access, and system setup.
Ensure compliance with all state and federal training requirements for staff.
Maintain and update teacher evaluation data and complete Registry of Educational Personnel (REP) reporting.
Process and track fingerprinting and iChat background checks for new hires and volunteers.
Office & Administrative Support
Manage business office correspondence, including incoming and outgoing mail, emails, and phone calls.
Assist with scheduling, communications, and records for administrative and Board of Education needs.
Foster a positive, respectful, and professional environment in all business office affairs.
Qualifications
Bachelor’s degree in business, accounting, or related field preferred (or equivalent work experience).
Prior experience in school business services or pupil accounting strongly preferred.
Familiarity with Michigan Pupil Accounting Manual (MPAM), MSDS reporting, and state aid processes preferred.
Strong organizational, analytical, and critical thinking skills.
Proficiency with accounting software, spreadsheets, and Microsoft Office/Google Workspace.
Ability to maintain confidentiality and exercise discretion with sensitive information.
Strong communication and interpersonal skills for collaborating with staff, administrators, and the public.
Organizational skills and a calm, positive demeanor with all community members, staff, and students.
Ability to work an occasional evening for Board of Education meetings, audit deadlines, or state reporting timelines.
